Global leadership and event organization is looking for a part-time Event Registration Coordinator to join their dynamic team

Hours/Schedule : Part-time, 24 hours weekly, ideal schedule will be onsite Tuesday , Wednesday , Thursday , flexible hours - This is a PART-TIME job that is during regular business hours and will work best for a job seeker looking only for part-time work.

Job Type : Contract to Hire

Location Requirements : On-site, 3 days weekly in their corporate office located near the Foggy Bottom metro in Washington, DC

Rate : $30/Hr.

Job Description : The Event Registration Coordinator supports the Registration and billing functions by coordinating logistics of all registration of meetings globally with the registration team . The candidate will also ensure accurate event billing, revenue reconciliation, and member payment follow-up. This role works closely with the Events Registration Team and Controller to maintain accurate financial records for events, provide timely reporting, and deliver responsive service to members. The position requires strong attention to detail.

Responsibilities :

  • work with the Event registration team on all logistics for set up of global events
  • Coordinate all logistics for hotel stay of all members attending meetings
  • Work closely with the Registration Team on assigned events to ensure Sales Orders are accurate and complete.
  • Reconcile Local Event Reconciliations and confirm Sales Orders to ensure they match.
  • Coordinate weekly auto-charging of credit cards for members who have selected this option during event registration.
  • Verify auto-charge lists with the respective event Registration Lead prior to processing.
  • Follow up with members via email regarding outstanding registration payments.
  • Coordinate with the Registration Lead on hotel upgrades to be charged.
  • Manage bill-backs to members following the conclusion of events, ensuring accuracy and timely processing.
  • Navigate and work within the Salesforce database to locate information and support efficient workflows.
  • Pull registration and financial reports from Salesforce as needed.
  • Assist with entering and verifying member registration data in Salesforce, including cross-checking details against Excel files (e.g., passport information, arrival and departure dates).
  • Qualifications :Bachelor's degree or equivalent work experience in accounting, finance, administration, or a related field.
  • Minimum of 3+ years of experience in event/meeting registration, customer service, accounting support, or administrative roles preferred.
  • Experience working with Salesforce or similar CRM systems strongly preferred.
  • Proficiency in Microsoft Excel and comfort working with reports and reconciliations.
  • Strong attention to detail and ability to maintain accurate financial and member records.
  • Excellent written communication
