Position Overview

We are seeking an experienced Onboarding & Mobilization Specialist to join our Houston team. This role is critical in supporting the smooth mobilization and ongoing coordination of our consultants and contractors across projects globally. The successful candidate will oversee travel logistics, mobilization support, vendor coordination, and procurement activities while maintaining strong relationships with consultants, suppliers, and internal stakeholders.

Key Responsibilities

• Coordinate and book domestic and international travel, including flights, accommodation, and ground transportation.
• Manage end-to-end mobilization of consultants and contractors, ensuring timely and safe movement from point A to point B.
• Maintain frequent communication with consultants to confirm travel details, provide updates, and resolve logistical issues.
• Build and maintain strong working relationships with consultants, acting as a key point of contact for logistics and operational support.
• Handle visa applications and immigration documentation, including liaising with embassies and consulates as required.
• Manage procurement of PPE and other equipment required by clients and projects.
• Assist with managing employee benefits such as Medical, dental, and life insurance.
• Assist with payroll.
• Support external audits and relevant management systems (i.e. ISO 9001 and ISO 45001).
• Coordinate with internal teams (recruitment, HR, finance, and project teams) to ensure mobilization requirements are met.
• Track and maintain records related to travel, visas, and equipment purchases.
• Support onboarding, background checks, and pre-employment medicals.
• Identify opportunities to improve logistics processes and cost efficiency.

Qualifications & Experience

• Previous experience in operations, logistics, or mobilization coordination.
• Experience arranging domestic and international travel.
• Familiarity with visa processes and working with embassies/consulates is preferred.
• Strong organizational and multitasking skills.
• Excellent communication and relationship-building abilities.
• High attention to detail and ability to work in a fast-paced environment.
• Proficient in Microsoft Office and scheduling/booking systems.

Preferred

• Experience supporting contractors or project-based workforces.
• Background in energy, engineering, construction, or technical services environments.
• Bilingual – English and Spanish
