Job Description

We are seeking a highly organized and proactive Virtual Personal Assistant to support daily operations for a real estate company. The ideal candidate will manage administrative tasks client communications scheduling marketing coordination and transaction support while helping maintain smooth business operations in a fast-paced real estate environment.

Key Responsibilities

  • Manage calendars appointments property showings and meetings
  • Respond to emails phone calls and client inquiries professionally
  • Coordinate communication between agents clients lenders inspectors and title companies
  • Maintain CRM systems and update client/property records
  • Assist with real estate transaction paperwork and document management
  • Prepare contracts listing documents and marketing materials
  • Post and manage property listings on MLS and social media platforms
  • Conduct online research and data entry tasks
  • Organize digital files and maintain confidentiality of sensitive information
  • Track deadlines follow-ups and transaction milestones
  • Assist with lead generation and customer relationship management
  • Support basic bookkeeping and expense tracking if required

Qualifications

  • Previous experience as a virtual assistant administrative assistant or real estate assistant preferred
  • Knowledge of real estate processes terminology and transactions is an advantage
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Office Google Workspace and CRM software
  • Familiarity with MLS platforms DocuSign Canva or real estate software is a plus
  • Ability to work independently and meet deadlines
  • High attention to detail and problem-solving skills
  • Reliable internet connection and home office setup
